How do I share access to my Koongo account?

Invite another Koongo user to your stores with Account Access, manage team seats and revoke shared access.

Account Access lets you invite another Koongo user – a colleague, a freelancer, or an external consultant – to work on your stores without sharing your login details. You generate an invitation link for the stores you choose, the invited user accepts it, and from that moment your stores appear in their own Koongo account next to their own stores. You stay the owner, and you can revoke access at any time.

What Account Access does

Everything is handled on the Account Access Overview page. Open it from the user icon in the top right corner of your Koongo account and select Account Access, or go directly to https://my.koongo.com/kaas/customer/multiAccess/.

The page has two sections:

  • My Invitations – invitations you have generated and that are still waiting to be accepted (status PENDING). You can copy the invitation link again or delete the invitation.

  • Shared Access – accepted access: which store is shared, with which e-mail address (Partner), the access Type, and a Remove button to revoke it.

Note: Access is granted per store, not per account. A partner only sees the stores you tick in the invitation – all your other stores stay hidden.

Before you start: team seats

Every partner who has access to your stores occupies one team seat on your subscription. Seats are provided by the Additional team seats add-on, which you enable in My Plan & Pricing > Add-ons. The add-on starts at 6 USD / month and includes 1 seat; every extra seat costs another 6 USD / month.

  1. Open My Plan & Pricing in the left menu.

  2. Scroll to Add-ons and tick Additional team seats. Set the number of seats you need.

  3. Click Change Addons.

  4. In the Confirm Change window, tick I understand that this action may trigger charges and billing adjustments and click Confirm and apply.

  5. Wait for the confirmation – the payment system needs up to 60 seconds to process the change.

If your Koongo subscription is billed through Shopify, you are redirected to Shopify to approve the new subscription. Check the summary and click Approve – the seats become available only after the approval.

Note: Seats are always charged on the plan of the account that shares the stores – never on the partner's account. If the add-on is missing or all seats are already taken, the partner will not be able to open the shared store.

Generate a new invitation

  1. Go to Account Access Overview and click Generate New Invitation.

  2. On the Shared Access - New Invitation page you see all stores connected to your account. Tick the stores you want to share.

  3. Click Create Invitation.

Koongo confirms with the message New Invitation created for stores: … and adds a PENDING row to My Invitations listing the granted stores.

Tip: One invitation = one partner. To give access to another person, generate a separate invitation. You can share several stores within a single invitation.

Send the invitation link

In the My Invitations row, click Copy Link. The button changes to Link Copied ✓ and the invitation URL – in the form https://my.koongo.com/kaas/customer/confirmInvitation/hash/<hash>/ – is in your clipboard. Send it to your partner by e-mail or chat.

Note: Koongo does not send the invitation e-mail for you – you distribute the link yourself. Treat it as a secret: anyone who opens it can claim the access. If a link leaks, click Remove next to the pending invitation and generate a new one.

Accept the invitation (invited user)

The invited person needs their own Koongo account. If they do not have one yet, they register first – the account can stay on the free plan, no store of their own is required.

  1. Sign in to Koongo with the account that should receive the access.

  2. Open the invitation link. The Account Access - Confirm Invitation page appears with the heading Accept store access from <owner e-mail> and a card for every offered store.

  3. Click Accept to confirm, or Reject to decline.

Koongo confirms with Invitation from <owner e-mail> has been accepted for stores: …, the pending invitation disappears from the owner's My Invitations list and a new row shows up in Shared Access.

Switch between your own and shared stores

The invited user now switches stores with the store selector in the top bar. Their own stores are listed under My Stores, and every set of shared stores is grouped under the e-mail address of the owner who shared them.

Inside a shared store the partner works exactly as the owner does – Products, Orders, Marketplaces, Feeds, Ads, Rules and Store Settings are all available. The subscription of the store keeps belonging to the owner.

Manage and remove shared access

The Shared Access table on Account Access Overview lists every active access – one row per store and partner.

To revoke access, click Remove in the partner's row and confirm the question Are you sure you want to remove access for <e-mail> from <store>? with OK. Koongo confirms with Access of <e-mail> to store <store> has been removed! and the store disappears from the partner's account immediately.

Tip: Removing a partner also frees the team seat. If you no longer need the seat, remember to lower the number of Additional team seats in My Plan & Pricing – otherwise you keep paying for it.

Troubleshooting

“Invitation cannot be accepted. These invitation stores are already granted to you.”

The invited account already has access to the listed stores, so there is nothing to accept. Check the Shared Access table – if the access is already there, no further action is needed. If you wanted to share additional stores, generate a new invitation with only those stores ticked.

“The addon 'Additional team seats' has been deactivated.”

The row in Shared Access turns red and the partner cannot open the store. It means the seat covering this access is no longer paid for – the add-on was switched off, the number of seats was lowered, or a payment failed. Click Add addon here! in the row (or open My Plan & Pricing > Add-ons) and add the seat back. The access is restored as soon as the change is processed.

The invited user does not see the store

  • Make sure the invitation was accepted with the right account – the e-mail in the Partner column has to match the account they are signed in with.

  • Ask them to look for the store in the store selector, in the group named after your e-mail address – not under My Stores.

  • Check that the Additional team seats add-on is active and has enough seats.

The invitation link does not work

An invitation link can be accepted only once, while the invitation is in PENDING status. If it was already used, rejected or removed, generate a new invitation and send the new link.
